10 non-standard tips for public speaking!

I teach a full-day Presentation Skills course for the British Library, among others, and I recently sought feedback on it from someone I trust. The thing he wanted more on - and it was one of those 'it's obvious now they say it' moments - was presenting itself, the process of it, rather than just preparing the materials. There was indeed a section on this in the training but it wasn't very long, so in order to improve the course I've read up on it a bit more; I learned a lot of useful things (and had others I already knew better articulated to me) so I thought I'd share some of them here.

Preparation

1. It's better to know the subject than the presentation. Learning anything from memory is really hard. But so is looking at notes, or reading presentations out from a script. If I try and learn a presentation I get worried - I'm aiming for something so specific, there's a feeling of pressure around getting it right, and a feeling that if I forget something the whole house of cards will fall apart. I prefer to only speak about stuff I know a bit about, and just use the slides to reinforce key points and basically prompt me to talk about certain aspects of a topic, as appropriate to that particular audience. This is much more relaxing than worrying about remembering particular phrases etc. It also means you're more flexible - things can even be tackled in a different order based on what the audience wants, for example.

In short, you can't be derailed because you're not on rails. That's a very reassuring feeling.

2. Imagine your audience leaving the room (after your talk!). It's often very hard to know where to start when creating a presentation - the default position is 'what do I know about this subject?' but actually that's the wrong way around most of the time. The more pertinent question is 'What do the audience want from this subject?' - if you imagine your audience leaving the room after you've spoken, what have they learned, what do they know now, what did they get out of it? Think about what is important to them in that moment, and build the presentation from there - if necessary going and doing more research beforehand, so you can talk more authoritatively about what matters to them.

3. The rule of three - there might be something in it... I've heard many times now that we remember things most easily in groups of three. There's a lot of it about - 3 act plays, stories with a beginning, a middle and an end etc. Presentations-wise, it's relevant because the audience will likely only remember 3 things from your presentation, so you need to make sure these are the most important three! If you're completely stuck for a structure, try the 3:3:3 method - three main parts of your presentation, each divided into three sub-sections, and if necessary each of those subsections divided into three as well.

4. Store your presentation in the cloud. Of course every presenter takes their presentation along on a USB stick but USB sticks do break sometimes, and they're small and easily lost. So a sensible back-up plan is to store your presentation in the Cloud, and of course the easiest way to store your presentation in the cloud is to email it to yourself. (Then it's backed up twice! Once in your inbox, once in your sent box. :) )

5. Have a one-page cheat sheet. Part of presenting well is being relaxed, and a lot of being relaxed (for me, certainly) is knowing exactly what your doing with the logistics of the day. So make a one page document with EVERYTHING you need to know in it: presentation start time, room number, directions to the venue, contact name and details, train self-ticket machine reference number, etc - print it out and carry it with you, and email it to yourself so you can check it on your phone. You're much more likely to arrive relaxed, on time, and focused.

Delivery

6. Look everyone in the eye, then pick your favourites to come back to... This is particularly useful for nervous speakers. Public speaking is about communication, and communication is better with eye contact. So I will try to literally look every member of the audience in the eye at least once, at least as far as I reasonably can. (After 5 rows or so, it's hard to be specific.) During this time, I'll notice a few people who are particularly receptive - they're nodding emphatically, or smiling at what I'm saying - and I'll come back to them throughout the talk, as a form of encouragement... I don't get nervous anymore, but even as a non-nervous person I like to see people on my side. (The flip-side of this idea is to work on the more indifferent members of the audience - or even hostile, but that doesn't come up too often in our industry, thankfully - by focusing more explicitly on them.)

7. Remember if people are looking down at a screen and typing, it's a compliment. I can imagine that it can be disconcerting if you're not a Twitter user, and you see people looking down at their phones rather than up at you. It must feel like kids ignorning what you're saying and texting their friends. But it's a good thing! They're sufficiently invested in what you're saying that they want to broadcast it to their network on Twitter - it's also a way for them to make notes at the same time. And of course, that means your words are reaching a bigger audience, which is excellent.

8. Have a Plan B for your intro and your outro. It sounds obvious but knowing what your opening line is going to be is quite important. Sometimes people decide to with something like 'Hello everyone, my name is Ned, I'm from York' but then the person introducing them says 'This is Ned, he's from York' so you really can't use that one... So know what you'll say if your planned opener is ruled out for whatever reason. The same goes with the closer - if it's covered in the questions for example, or if you finish surprisingly early and need some more material to call upon, have a relevant topic in mind in advance.

9. Listen very carefully, an introvert will say this only once... Lots of people reading this will be introverts; I'm one, certainly. A characteristic we share is only saying stuff once - if it's said, it's done with, we don't want to say it again. I feel embarrassed telling a story to someone if I know I've told it to someone else, even if the two people are completely unconnected! But in presentations we have to fight that instinct, and make sure we say the really important stuff (main arguments, big statements, statistics, quotes) at least twice; perhaps in different ways but at least twice nevertheless.

10. Think in tweetbites. You thought it was enough to think in memorable soundbites! Not anymore. For the maximum impact, your most important statements needs to be tweetable so that your presentation is amplified beyond the walls of the room you're in. You've put hours of work into it, so why not double, triple or otherwise exponentially increase the audience for your key messages? Think in quotable, tweetable chunks (as long as that's not actually to the detriment of your presentation, of course...).

Digital Marketing Toolkit - workshop December 5th

A brief post to let anyone interested know that I'm running a one-day workshop, at York St John University on the 5th of December, on behalf of UKeIG. It's all about marketing with new technologies. Moving beyond the social network basics, this course will look at how to identify which technologies will be useful for marketing your organisation, how to use them effectively, and tips, tricks and general best-practice for marketing online. Topics will include marketing with video, viral marketing, mastering geolocation (such as FourSquare), mobile apps, publishing online, getting the most out of QR Codes, and taking social media marketing to the next level.

I'm also keen to accomdodate any other apsect of digital marketing that people would like to cover - if you're already booked on the course then let me know what you'd like to cover (and if you're not attending, I'd still be interested in the kinds of things you'd like to see covered on a course like this...).

Social media for organisations: getting the basics right

A quick post to let people know that Megan Roberts and I are running a one-day course for UKeIG, on social media for organisations. It's open to all but aimed mainly at information services - and it's all about using social media at an organisational level rather than a personal one. Anyone who's started a library twitter account or facebook account will have quickly come to realise that the needs for library accounts are very different to the needs for librarian accounts! The idea of the course is to equip you with the knowledge and confidence to be able to use social media successfully - we'll be exploring best practice, seeing how the leaders in our industry use the tools, and answering thorny questions about how to deal with tricky situations online. Pretty much every information service needs to be using social media in its marketing these days; it's not that intimidating when you know what you're doing, and it represents a fantastic opportunity to achieve a lot without spending a whole bunch of money...

When and where

The course takes place in York, at the York St John University, on the 4th of  September, from 09:30 - 16:30.

What the course covers

We'll be talking about what social media is, how it works, and how the approaches involved differ from traditional forms of marketing. We'll cover why you should be using the tools available, how you can tell if it's working, where to start in terms of platforms, netiquette, identifying stuff to talk about online, and using tools to manage the burden. Specific platforms covered include Twitter, Facebook, YouTube, Slideshare, LinkedIn, Flickr, and yes, Google+ and Pinterest!

There'll be plenty of hands-on experience of using the tools in question.

You already have a brand! Here are 5 ways to influence it... (#CILIPNPD12)

Yesterday I presented at possibly my favourite library event of all, CILIP's New Professionals Day. I love it because it gets so many people fired up and energised, and there's so much enthusiasm about the place. I was honoured to do the first talk of the day, and my presentation was about two things: firstly the fact that you don't have to be a super-librarian to get on in your career, and secondly that we all have a personal brand so if you do want to try and build that brand, there are steps you can take to do so positively.

I wanted to dispel some myths (particularly that we all have to aspire to be like the really well-known, uberlibrarians), following on from this blog post about whether or not we really have to market ourselves at all, which explains a lot of the stuff I talked about yesterday.

Library adventures in Latvia! (Plus, what we can learn from their approach.)

I've just got back from Latvia where I've been doing some work for the Father's Third Son project - the part of the Ministry of Culture which looks after libraries, basically. This post is part 'here's what I did and how it went' and part 'Latvian libraries are pretty amazing - here's what we can learn from them'. I'll get the embedded presentation out of the way first.

New librarians: this is your time

The first thing I did was based largely on The Time For Libraries is NOW, and the third thing I did was in two separate Prezis which would be a bit complicated to reproduce here, so I'm embedding the middle one. It was delivered to information science students at the University of Latvia, and is basically about how great our profession is...

The background

Father's Third Son have been working with Bill and Melinda' Gates's Global Libraries foundation to revolutionise libraries in Latvia.

The name derives from Latvian folklore, a tale which is a bit like a gender-reversed version of Cinderella but with more emphasis on overcoming difficulties and flourishing - the same story also informs the shape of the National Library of Latvia, being built at the moment (see pic below).

It's a project which has been running since 2007, and with great success. (Global Libraries works across 13 countries and Latvia tends to be held up as the example to follow.) Father's Third Son found me via Twitter and later Slideshare and my blog, and asked me to come over and do some presentations as part of their programme.

Latvian libraries

The Latvian libraries system is pretty amazing; they've done some great things in the past 5 years. I learned a lot - it was great to talk to people who'd surmounted some of the problems we have in the UK and the US, and have different issues. It was eye-opening: normally when I talk to librarians we all seem to be going through exactly the same stuff! But this was a little different. Here are some Latvian library headlines:

  • They have 874 public libraries. For a population of around 2 million! I think that works out at around 7 times as many libraries per member of the population than we have in the UK.
  • Most library users come to the library on foot - on average, nationally, they're an 18 minute walk away from their nearest one
  • Check out this map showing how densely populated the country is with libraries! Latvian library map
  • Father's Third Son has revolutionised the infrastructure - all the libraries now have PCs with up-to-date Office Suite installed, 24/7 free wifi, and 1800 librarians have had 140 hour training programmes to equip them to deal with the new technology and help others get the most out of it
  • There is an information management undergraduate degree, which a lot of people take - but then don't go on to become librarians. So they have a retention issue which we don't have so much here, and not enough young people in the workforce. My second talk was intended to convince the students that this profession holds all sorts of interesting possibilities, so they'll stick with it
  • They have a media briefing programme (which I was part of) - apparently one of the issues they have is the media are so positive about libraries most of the time, it's hard to make the case for taking investment to a new level! Imagine that! So part of my role was to look at future trends and tech possibilities, to showcase that the work (and investment) shouldn't stop yet...
  • They create little success story videos for different markets which illustrate how the library have helped people (brilliant marketing technique!)
  • Librarians are valued by communities as trusted sources of information, and have a very high satisfaction rating of 94%, among Government employees (compared with teachers 84%, and policemen with 48%!)
  • They have an internet portal which all libraries are on. ALL of them - the public libraries, the academic libraries, the school libraries. One place which unites all the libraries online - easy for the user, and great potential for a united, cohesive voice for the libraries, too
  • Did I mention they have a media briefing programme? .

I found it all pretty inspiring really (and I am quite cynical at heart...). The thing I was most impressed with is that Father's Third Son have managed to take a top-down look at the entire country's library system and implement changes from the ground up, and actually reach their goals and change things for the better. It's hard to imagine the same thing happening in the UK or the US, but it's good to know it can be done. What's really striking is how much infrastructure is put in place on libraries' behalf, I wish we had governmental departments working with us in that way. But we can definitely learn from their confidence of inviting the media, giving them lunch, working with them and escaping the echo chamber on a regular basis in a very direct way.

The trip itself and the presentations

It was a three-day trip, with day 1 mostly consisting of travel to Riga. I was then taken out to dinner by my very generous hosts, who told me a lot of useful info about the presentations I'd be giving. In the run-up to going away I'd been ill for two days so that lack of finishing off time, combined with learning a lot more about the context of the talks that evening, meant I was up late into the night using the hotel bar's wifi to tweak my presentations!

Day two started with a presentation to the Latvian media. How good is that? They have a media programme, and print and broadcast journalists, not just from Riga but all over Latvia, come for a morning of presentations. It's absolutely brilliant echo-chamber escaping, library media-narrative dictating stuff! The presentation before mine was about children's drawings of the library. It was in Latvian but I'd been told enough about it to think it was a wonderful idea - basically they give kids pens and blank paper and say 'draw your ideal library' and give no other instructions than that. Some kids just draw a picture, some add notes as well. Then child psychologists come along and analyse the pics, and they feed it all into their future planning for library design.

Seriously - the Latvian library system is ace.

Anyhow, I now had around an hour to present to the media. This amounted to around 30 minutes of stuff, to give the translator the other 30 minutes to put it all into Latvian. He was really nice - an English Professor at the University, who does a lot of work with movies to get them into the native language via sub-titles etc - and I made him promise not to stitch me up by saying things like 'This guy is talking complete nonsense. I'm not even going to bore you with an actual translation' etc etc.

The talk was mainly about the future trends in technology and the possibilities for libraries within that - it went quicker than I thought so I ended up ad-libbing a load of stuff about FourSquare which I'd had no intention of putting in there. There was also some stuff about the library at York, the new building and its associated technology etc. I don't think my style of presenting suits big statements followed by gaps for translation but it seemed to go fine, they listened all the way through, and they laughed a lot about the gin part of the great library stereotypometer...

I was then taken to the University for the talk to the students (the presentation embedded above). Because of the whole 'they complete the degree but then don't necessarily go on to become librarians' my brief was to convince them that our job has got all sorts of possibilities they may never had considered - I did my best! I've bought a clicker now to move the slides on, and I have to say I did feel much better being able to stride around the stage rather than being tied to the laptop. There was then an interesting panel discussion with academics in the department - most of which was in Latvian but some of it came my way and was translated into English. We ended up talking about the Widening Participation programme we run at York, the library going into Schools. I enjoyed it, it was fun.

Day 3 featured a recorded presentation at a production company - about marketing and advocacy. The idea is that it will be sub-titled and then circulated on DVD to all the Latvian libraries. I focused on basic principles of marketing, why we need to do it, why strategic marketing is more effective in the long-term, the possibilities and best practices of marketing with social media and how we use it at York, and the echo chamber problem and how to overcome it. I was using two Prezis for this one and I couldn't access them online (they were borked, although they seem alright now - great timing!) so I was incredibly relieved I'd decided to save them to a USB stick.  I had to wear a microphone unit and there were cameras and leads and screens, plus I couldn't have the laptop on the presentation on because it was plugged in to all the recording equipment! I thought it was going to be a nightmare but I asked if the audience could move so I could see them and the big screen without having to turn away from them, and managed to get through it without any restarts. I think it was fine.

Then I met Sanita Maleja who lots of people had told me about in the previous two days - she's like a local ceLIBrity (copyright - @lemurph) for her work with the New Professionals part of the LLA (Latvian Librarian's Association). We had to do a little interview for the New Profs blog but she was kind enough to take me into the old town, which I'd not really been able to see up to this point as I was always on the way somewhere. This was brilliant - Riga is amazing and I really enjoyed just wondering about, plus Sanita and I have very similar views on libraries and on the profession. It was a great end to a great trip.
